Setting up My Repairs Online is quick and straightforward. This guide walks you through customising your tenant portal to match your branding and configuring notifications, so you’re ready to receive repair requests.

Guide to configuring your Tenant Repair Portal

  1. Step 1: Create Your Account

    To get started:

    1. Enter your full name
    2. Enter your company name
    3. Enter your email address
    4. Click Sign Up

QR codes are particularly effective as they take tenants straight to your My Repairs Online portal without needing to search or log in through complex systems.

  2. Step 2: Adjust Your Portal Colours

    You can change:

    • Header colour
    • Background colour
    • Icon colours

If you have defined brand colours, you can enter your exact hex codes to ensure perfect consistency with your website and marketing materials.

  3. Step 3: Add Header Text

You can include a custom message at the top of your portal — ideal for:

    • Setting expectations
    • Providing emergency instructions
    • Reinforcing your brand voice
  4. Step 4: Your Unique Portal URL

Each account has a unique portal URL.

This is the link tenants use to submit repair requests.

    We recommend:

    • Adding it to your website
    • Including it in tenant welcome packs
    • Sharing it in email signatures
  5. Step 5: Upload Your Logo

Upload your company logo to fully brand your portal.

If your logo is rectangular, you can typically leave the default sizing as is.

Once uploaded, your portal will visually align with your company branding.

  6. Step 6: Download and Use Your QR Code

Your account automatically generates a QR code linked to your unique portal URL.

    You can:

    • Download it
    • Print and place it inside properties
    • Add it to your website

When scanned, tenants are taken directly to your repair submission page.

  7. Step 7: Preview Your Portal

Click Save, and your portal will open in a new tab.

    Here you can review:

    • Company name
    • Address details
    • Phone number
    • Branding colours
    • Logo

This allows you to see exactly what tenants will experience.

  8. Step 8: Configure Repair Notifications

Go to the Notifications tab to manage how repair alerts are sent.

    You can:

    • Edit existing notification recipients
    • Add new email addresses
    • Add additional phone numbers
    • Adjust how each contact receives notifications

This ensures the right people in your team are informed when repairs are submitted.

  9. Step 9: Add Custom Repair Categories

Users can create additional repair categories tailored to their portfolio.

This is particularly useful if you manage:

    • Specialist property types
    • Large portfolios
    • Add additional phone numbers
    • Unique maintenance requirements

(Advanced category configuration is covered in a separate guide.)

  10. You’re Now Ready to Go

Once configured, your branded tenant portal is live and ready to receive repair requests.

From sign-up to full branding, the entire process takes just a few minutes — giving you a professional, structured repair reporting system without complex setup.
